Disciplinary Holds & Transcript Notations
The Office of Student Rights & Responsibilities and the Office of Academic Integrity have the ability to place an encumbrance or “disciplinary hold” on a student’s university record while disciplinary proceedings are under investigation, pending, or sanctions incomplete, or in accordance with other university policies. A disciplinary hold prevents a student from registering or un-registering for academic courses. A disciplinary hold does not prevent a student from obtaining an academic transcript from the university.
Office of Student Rights & Responsibilities - Transcript Notations:
A notation of non-academic disciplinary action will be made on an academic transcript whenever a student is expelled or suspended, or in accordance with university policies or applicable laws. Other disciplinary records or administrative records maintained by the Office of Student Rights & Responsibilities are not reflected upon a student’s academic transcript; but are maintained in accordance with university policy.
Students may petition for removal of the notation of suspension no sooner than three years from the finding of fact for the case. Such petitions may be granted at the discretion of the Director of the Office of Student Rights & Responsibilities or designee. Factors to be considered in reviewing petitions for notation removal include the current demeanor of the student, the student’s conduct subsequent to the violation, and the nature of the violation, including the damage, injury, or harm.
Office of Academic Integrity - Transcript Notations:
A notation of academic disciplinary action will be made on an academic transcript whenever the sanction rises to the level of “Failure of the Course”, is independently sanctioned, or a more severe sanction is imposed. Other disciplinary records maintained by the Office of Academic Integrity are not reflected upon a student’s academic transcript; but are maintained in accordance with university policy.
Students may petition for the removal of an academic integrity transcript notation for a case that resulted in a “Failure of the Course” after a minimum period of two years. Students may petition for the removal of an academic integrity transcript notation of suspension or expulsion after a minimum of three years. Such petitions should be submitted to the Office of Academic Integrity and addressed to Provost and Executive Vice President for Academic Affairs.
A petition to remove an academic integrity transcript notation is discretionary and is not automatically granted; a student submitting a request should provide a thorough explanation of the reasons he or she believes that removal of the notation is warranted.
Please note that if the removal of an academic integrity transcript notation is granted, the Office of Academic Integrity will still permanently retain the disciplinary record in accordance with university policy.
As a reminder, for either academic or non-academic disciplinary transcript notations, if a student is granted a removal of the transcript notation, the student may still need to disclose information regarding their disciplinary record to a third party, including but not limited to, a potential employer, a professional governing body (ex. a Bar or Medical Board), or another university through an admissions process.
